Ignatian Examen
The Examen is one of the most important forms of daily prayer that St. Ignatius of Loyola entrusted to his companions, and--by extension--to each of us who wish to seek and find God in all things. The Examen is a habit, or practice, whereby one reviews the events of one’s day--the large things, and small--in order to discern the movements of one’s heart and spirit, and to reflect on those moments where we might find God calling us into a deeper sense of awareness of, and communion with, ourselves, our communities, our common home, and our God.

This year, we commemorate the 500 year anniversary of one of the most significant events in the life of St. Ignatius: his being struck in the leg by a cannonball at the Battle of Pamplona. This event forever changed Ignatius’s life, and started him on a journey of spiritual and religious insight. Today, not only the Jesuits, but their lay collaborators as well, follow in Ignatius’s footsteps through the practice of the Examen. In this Ignatian year, we invite you to join us in an Examen to help deepen our sense of belonging and purpose in our work at Jesuit institutions. We invite you to take a moment and reflect on the ways in which your gifts and talents can continue to meet the needs of the world.

During COVID-19, Georgetown University leveraged Salesforce’s Health Cloud platform to rapidly roll-out a host of supports for students, staff, and faculty, from contact tracing to vaccine management. Beyond the immediate crisis, the platform has generated competencies that pave the way for a long-term holistic approach to student care through digital collaboration.

The result is the ability to live out the Georgetown core value of cura personalis - caring for the whole person - in new ways. Using Health Cloud, they were able to rally around the unique needs of students, faculty, staff and contractors by providing high-quality wrap-around services.

For Georgetown, this digitized collaboration has opened new doors to address long-term pain points for student services:  How do we enable collaboration across campus?  Where are opportunities to automate student support? Can we digitize the experience using a branded app?  Can we engage third-party contractors in a holistic approach to student care?  Moving from disconnected providers, to a coordinated effort, the project acted as an accelerator to bring together people and technology across the University to better serve the community during an unprecedented time of need.

Drawing on additional research across the US and Canada, we highlight three ways that digital technology can support rapid collaboration between stakeholders: reconfiguration of existing technologies for new uses; leveraging virtual collaboration; and the power of analytics.

CITM Track B: Using Interfolio for Rank and Tenure and Faculty Search Automation
Georgetown has been using Interfolio since 2012 to manage Rank, Promotion, and Tenure (RPT) cases.  Our process employs fifteen distinct workflows.  For tenure track cases, each of the university’s three campuses has at least two distinct workflows that vary by the context of the case and originating unit. All of these converge into a common workflow at the final university-wide review level. Additionally, school-based promotion and appointment processes are supported by other workflows.

Interfolio’s workflow management system is flexible and robust enough to accommodate existing workflows and new workflows as they are conceived. The use of standing committees is pervasive in our institution-wide approach to reviewing cases at every level. We will discuss campus-specific and University-wide processes that maximize the considerable strength of the workflow management system.

We have been using Interfolio Faculty Search (IFS) University-wide since 2020. The system is designed to allow faculty candidates to easily apply for academic positions online and facilitate committee review of all applicants. Other aspects of a search are typically handled by an ERP including budgeting and approval of position searches and the hiring process.

We will review integrations between IFS and Workday to create a seamless process.  Users are provisioned so that search committees can be created with less effort.  Information from an approved job search in Workday is used to automatically create a faculty search record in IFS.  Once an approved candidate is to be hired IFS sends candidate info to Workday to initiate the process.  We will discuss the creation of a cross-functional project team, outline the work that we did to accomplish our goals, and demonstrate the power of these integrations to automate this important business process.

Georgetown University Information Services survived a perfect storm of institutional evolution, office turmoil and a pandemic by implementing a portfolio management approach to ensuring that IT projects align with institutional priorities.
